The Evangelical Foundation Neuerkerode (ESN) manages facilities and companies in the social economy, particularly in healthcare for the elderly and disabled. By collaborating with Zalaris, ESN aimed to digitise its financial processes and subsequently its human resources processes. ESN had no prior experience with SAP software and applications.

Role of Zalaris
As part of the digitalisation strategy, Zalaris initially introduced SAP S/4 HANA for accounting at ESN. Particularly, emphasis was placed on implementing the invoice verification workflow to standardise and expedite processes. Concurrently, with the introduction of SAP SuccessFactors Recruiting and Learning, the first step towards digitalisation in the HR domain was taken.
Based on the positive experiences in accounting, ESN engaged Zalaris approximately one year after the collaboration began to implement SAP HCM, coupled with payroll outsourcing. This involved realising interfaces between SAP HCM and SuccessFactors and web-based integration with the client’s existing external time tracking system (duty roster) to ensure correct, fully automated data transfer.
ESN emphasised not only outsourcing payroll but also fully outsourcing the hosting of the HCM system, with hosting in the multi-tenant system, offering significant cost advantages to the client. In addition to actual payroll processing, Zalaris also handles the complete post-processing of payroll, such as reporting to authorities and print control for payroll documents, as well as providing comprehensive system support.
Furthermore, a joint project with partner PlanOrg implemented the internal BI system on SAP BW/4 HANA and BO.
Outcomes achieved
ESN benefited greatly from an integrated overall solution due to the high integrity and extensive functionality of SAP S/4 HANA, SuccessFactors, and the use of the HCM multi-tenant system. Important external systems were integrated without data loss using standardised interfaces to realise cross-system internal business processes. The integrated SAP logic prevents errors in payroll processing. The introduction of SAP HCM significantly improved and stabilised payroll processing.
Even post-implementation, Zalaris continues to provide continuous support services for the SuccessFactors modules, Recruiting and Learning, to ESN and undertakes system maintenance in the HCM and accounting areas. Additionally, Zalaris’ BPO team handles monthly payroll processing for the client.
