Ryanair’s rapid growth created new demands for its HR and payroll operations. With employees moving across markets, different local regulations to manage and multiple payroll bureaus involved, the organisation needed greater control, consistency and scalability.

In this webinar, Ryanair’s HR and payroll leaders share how they moved from fragmented, paper-based processes to a more unified HR and payroll model, supported by SAP SuccessFactors and Zalaris expertise.

The transformation initially focused on 10 countries and around 11,000 employees. The wider HR and payroll platform now supports 28,000 employees across more than 13 markets.

Why transformation became essential

Ryanair had grown from a single aircraft and route operation into a group of airlines operating across Europe and North Africa. Its HR and payroll environment had to evolve at the same pace.

Before the transformation, the organisation was managing:

  • Multiple payroll bureaus across Europe
  • Paper-based processes and spreadsheets
  • Fragmented employee data across different systems
  • Manual checks and repeated data entry
  • Limited visibility and control over payroll data
  • Different processes for each country and provider

This created operational risk and made it more difficult to scale. Data had to move between Ryanair, local bureaus and internal systems before payroll could be completed.

Building a unified HR and payroll foundation

Ryanair selected SAP SuccessFactors to create a more cohesive HR and payroll environment, with localisation across the markets where it operates.

The initial rollout covered Ireland, the UK and Poland. These countries provided the foundation for a more centralised operating model, with payroll activity increasingly managed from Dublin.

The next stage expanded the programme to 10 countries through three implementation waves. The rollout had to account for employee numbers, local legislation, tax-year deadlines and the operational capacity of the team responsible for processing payroll.

The programme was ambitious, with an initial target of completing the rollout within 18 months. As the work progressed, the plan was adjusted to reduce pressure on the business and protect payroll continuity.

From technology project to operating model change

The transformation changed more than the technology. Ryanair was also building a central payroll capability in Dublin and developing the knowledge needed to manage more countries internally.

The organisation’s teams gained experience with local legislation and payroll requirements that had previously been handled by external bureaus. At the same time, standardised processes made it easier to transfer knowledge, maintain continuity and support future growth.

The results

Ryanair now has a more consistent way of managing HR and payroll across markets, with:

  • A single HR and payroll environment for employees moving between countries
  • Better visibility and control over employee data
  • Improved self-service for employees and managers
  • Greater consistency in payroll processes
  • More centralised payroll operations
  • Stronger auditability and compliance controls
  • A scalable foundation for future growth
